Access control system in Gurgaon: a practical buyer's guide

Planning an access control system in Gurgaon? Compare standalone and networked systems, cards, face and keypads, locks, installation and safety.

If you are looking for an access control system in Gurgaon, you will find everything from a simple keypad lock for one cabin to networked systems that manage hundreds of doors, lifts and turnstiles. The right choice depends on how many doors you have, who needs to go where, and what should happen in an emergency. This guide walks through the decisions in plain language, so you can compare quotations properly. It is written for office admins, facility managers, society committees and factory owners in Gurugram and the rest of Delhi NCR.

Note: we do not publish a fixed price list, because the cost depends on the number of doors, the type of door, the reader and the lock. Ask for an itemised quotation that lists each part and the installation work separately.

Start with a door list, not a product

Before you call any supplier, walk around the site and list every door that needs control. For each one, note:

  • Door type: glass, wooden, metal or a shutter
  • Who uses it: all staff, one team, visitors, or only management
  • Whether exit also needs a card or face, or just a push button
  • Whether there is network cable and power nearby

This list decides most of the design and stops you paying for features you do not need.

Standalone or networked access control?

Standalone doors

A standalone reader works on its own: users are enrolled directly on the device, and it opens one lock. A keypad access control system or a fingerprint reader on a server room or a director's cabin is a common example. It is economical and quick to install, but each door must be managed separately, and reports are limited.

Networked (multi-door) systems

For more than three or four doors, a networked system is usually easier to live with. Readers connect to 1, 2 or 4 door controllers, and all users, time schedules and logs are managed from one software or web panel. When someone leaves the company, you remove them once and they lose access everywhere. Networked systems can also control lifts floor by floor and connect to flap barriers or turnstiles at the main entrance.

Choosing the credential

Each method has trade-offs. RFID cards are fast and low-cost but can be lent or lost. Fingerprint readers cannot be lent but need touch. Face recognition is touch-free and quick, and costs more per door. PIN keypads are cheap but codes get shared. Many offices use cards or face for staff, QR passes for visitors and card plus PIN for sensitive rooms. Our guide on card, face or mobile access compares them in more detail.

Locks: the part people forget

The reader decides who may enter; the lock is what actually holds the door. The right lock depends on the door:

DoorCommon lock
Frameless glass doorDrop bolt or glass-door EM lock with bracket
Wooden or metal door with frameElectromagnetic (EM) lock or electric strike
Main gate or perimeterTurnstile, flap barrier or motorised gate

Also budget for an exit button, an emergency break-glass unit, a door closer if the door does not shut by itself, and a power supply with battery backup.

Safety and fire alarm link

In an emergency, locked doors must open. A good installation releases the locks automatically when the fire alarm triggers and keeps a manual break-glass release at each controlled exit. Ask the installer to show you how this works during handover. This also matters during fire NOC inspection in Gurugram.

Access control system installation: what good work looks like

Most problems with access control come from the installation, not the device. When comparing access control system installation services, check that the installer:

  • Visits the site and recommends locks door by door
  • Runs cables in conduit or trunking, with labelled ends
  • Uses a separate power supply with battery backup, not a plug-in adaptor
  • Sets up user groups and time schedules with your admin team
  • Tests fire alarm release, exit buttons and door-forced alerts
  • Gives you admin access and a simple handover document

Local points for Gurgaon sites

Offices in Cyber City, Golf Course Road and Udyog Vihar often share a building with other tenants, so check what the building management allows on common doors and whether the lobby already has barriers. Factories in Manesar usually need dust-resistant readers and a link to the attendance system. Housing societies often combine access control with visitor management at the tower lobby. Whatever the site, prefer a supplier based in Gurugram who can return quickly if a lock or reader fails.

Quick checklist before you order

  • Door list with door type and users
  • Standalone or networked, and number of doors today and later
  • Credential: card, PIN, fingerprint, face or QR
  • Correct lock, exit button and break-glass for each door
  • Battery backup and fire alarm release
  • Software, reports and who manages users
  • Warranty, AMC and response time
