Check that the software can handle meeting room visitors, interview candidates and vendors differently, and that hosts get an instant notification.

A visitor management system for a society or apartment complex has a different job. The guard needs a simple mobile app or tablet to log delivery staff, cabs, domestic help and guests, and residents approve entries from their phones. Daily staff such as maids and drivers should be added once and then marked in and out quickly. If the society also has a vehicle gate, the VMS can work alongside a boom barrier with RFID or FASTag for resident cars.

Ask whether the QR or face pass can open flap barriers, tripod turnstiles and door readers, and whether access expires automatically at the end of the visit. A system that only records names, while the gate stays open to anyone, solves half the problem.
Hardware that suits the location
Indoor receptions can use a 10 or 13 inch kiosk with a badge printer. Outdoor gates need a weather-protected stand, a screen that is readable in sunlight, and power backup. Check whether the guard can continue working offline if the internet drops, with entries syncing later.
Data privacy and record keeping
A VMS stores personal details of every visitor. Under India's Digital Personal Data Protection Act, 2023, organisations should collect only what they need, tell visitors why, and protect the records. Ask the vendor where the data is stored, who can see it, and whether old records can be deleted after a set period. Avoid storing full ID card copies unless your site really requires it.
