A factory gate is busier and more varied than an office reception. In one morning the guard may log a supplier's truck, twenty contract workers, an auditor, a service engineer and a courier. A paper register cannot tell you who is still inside, whether a contractor's pass has expired or which material left the premises. A visitor management system for a factory replaces that register with digital gate passes, photos and reports. This guide explains what such a system should handle and what to check before you buy one.
Note: the cost depends on the number of gates, kiosks or guard tablets, software licences and integration with turnstiles and boom barriers, so we do not publish a fixed price. Ask for an itemised quotation after a site visit.
Why a factory needs more than an office VMS
Office visitor software is built around a receptionist, a host and a meeting. A plant has different people and different risks:
- Contract and temporary workers who come every day for weeks or months.
- Vendors, auditors and service engineers who need an escort or a safety briefing.
- Trucks, tempos and drivers bringing material in or taking finished goods out.
- Restricted zones such as production floors, stores, labs and utilities.
Our general guide on choosing a visitor management system in Gurgaon covers offices and societies. Here we focus on visitor management for manufacturing plants, warehouses and industrial units.
Visitor gate pass system for a factory: the passes you need
Visitor pass
For one-time visitors such as auditors, customers and job candidates. The host approves the visit, the system captures a photo and mobile number, and prints a badge or sends a QR pass that is valid only for that day.
Contractor and labour pass
This is where a factory system earns its keep. Each contract worker is registered once with a photo and the contractor's name, and gets a pass with a start and end date. When the date passes, the pass stops working at the gate automatically. Supervisors can see how many workers from each contractor are inside at any moment.
Material and vehicle pass
Many plants still use a separate register for material. A good system records returnable and non-returnable material, tool boxes brought in by engineers, and the vehicle number and driver for each truck. Linking these entries to a boom barrier at the vehicle gate keeps the truck record and the gate opening in one place.
Features to check before you buy
Safety induction before entry
Ask whether the system can show a short safety video or a list of site rules on a kiosk or tablet, and record that the visitor accepted them before the pass is issued. You can also mark which visitors need safety shoes, helmets or an escort.
Integration with turnstiles and barriers
A gate pass that only sits in software is easy to ignore. The system becomes much stronger when the QR or face pass opens a tripod turnstile or full height turnstile at the worker entrance, and refuses entry once the pass has expired. Check which turnstile and controller brands the software supports before ordering.
Headcount for emergencies
During a fire drill or evacuation, the security team should be able to pull a live list of every visitor and contract worker still inside. Ask the vendor to show this report during the demo, and check that it works on a mobile phone at the assembly point.
Rugged gate hardware and offline working
Factory gates are dusty, hot and often outdoors. Choose a weather-protected kiosk or a guard tablet with a sunlight-readable screen, power backup and the ability to keep logging entries if the internet drops, syncing later.
Attendance and reports
If contract workers also punch attendance, check whether the gate entries can feed your biometric attendance or payroll reports, so the contractor's bill can be matched with real hours on site. Useful reports include overstays, expired passes, blacklisted persons and material still pending return.
Data privacy
The system will hold photos and phone numbers of many people who are not your employees. Under India's Digital Personal Data Protection Act, 2023, collect only what you need, tell people why, restrict who can see the records, and delete old data after a set period. Avoid storing full ID card copies unless your site truly requires it.
Planning the gate layout
Separate the flows where you can: a pedestrian gate with a turnstile and a kiosk or guard desk for workers and visitors, and a vehicle gate with a boom barrier and a guard tablet for trucks. At shift change, many workers arrive together, so plan enough turnstile lanes and a QR or face check that takes a second or two per person. Add CCTV coverage at both gates so every entry record can be matched with video if needed.
Quick checklist

- Automatic expiry of contractor passes at the gate
- Safety induction and PPE confirmation before entry
- Integration with turnstiles, boom barriers and access control
- Live headcount report for evacuation
- Rugged kiosk or guard tablet with offline working
- Data privacy controls and record deletion
- Local installation, training for guards, warranty and AMC
