Where a visitor management system helps in Delhi
A visitor management system (VMS) replaces the paper register at the gate or reception. The guard or a self-service kiosk captures the visitor’s name, mobile number, photo and ID, the host approves the visit on the phone, and a printed or QR pass is issued. Every entry and exit is saved, so you can search who came, whom they met and when they left. How it works in general is on our visitor management system page. In Delhi we set it up at:
- Offices and business centres in Connaught Place, Nehru Place, Okhla, Jasola and Saket, where a busy reception needs fast check-in and a clean record.
- Hospitals and clinics, to separate attendants and visitors from staff-only areas and limit visitors per patient.
- Schools, where every parent, vendor and visitor must be recorded and children are handed over only to approved people.
- Residential colonies and RWAs, where domestic help, delivery staff and guests are approved by residents.
- Factories and warehouses in Okhla, Mayapuri, Naraina and Wazirpur, where drivers, contractors and vendors need a pass and an exit time.
Points we plan for
- Peak hours at the gate. Delivery boys, cabs and walk-in visitors arrive together in the morning and evening. QR pre-registration by the host and a fast guard app keep the queue short; a kiosk at reception lets regular visitors check in themselves.
- Host approval. The host gets the visitor’s photo and purpose on the phone and approves or rejects it, so the guard does not have to call around.
- Linking to entry. The QR pass can open a flap barrier or door for that visit only and stop working after it, so passes cannot be reused.
- Regular visitors and staff of vendors. Housekeeping, security and maintenance staff of vendors get passes with an end date, so access stops automatically when the contract ends.
- Visitor data and consent. Visitor photos, ID and mobile numbers are personal data. We set who can see the records, how long they are kept, and a consent line on the check-in screen, in line with the Digital Personal Data Protection Act, 2023.
- Power and network. The gate tablet or kiosk needs steady power and internet; we plan a backup so check-in does not stop during an outage.
What supply, installation and AMC include
- Site survey of gates and receptions, visitor types and peak hours.
- Supply of the software, guard tablet or kiosk, pass printer, camera and ID scanner as needed.
- Setup of hosts, departments, approval rules, pass formats and reports, and links to flap barriers, door access or the boom barrier at the vehicle gate.
- Training for guards and reception, and AMC support afterwards.

Questions from Delhi buyers
Do you install visitor management systems in Delhi?
Yes. We supply, set up and maintain visitor management systems for offices, hospitals, schools, RWAs and factories across Delhi, with links to doors, flap barriers and boom barriers where needed. Visits are planned from our Gurugram office.
Do we need a kiosk or is a guard app enough?
A guard tablet app is enough for most gates. A self-service kiosk helps at busy receptions where regular visitors can check themselves in.
Can visitor passes open a door or flap barrier?
Yes. The QR pass can open a flap barrier or door for that visit only, and stops working after the visit.
Is visitor data safe?
We limit who can see visitor records, set how long they are kept and add a consent line at check-in, in line with the Digital Personal Data Protection Act, 2023.
